Balance Case
Finding balance with work, family, school and trying to be healthy is a problem a person must face day to day. For over a month, the workload has increased tremendously with having two employees leaving the company. This reaction caused our department to lose control. In the meantime, the boss hires temporary employees to help with the labor. Unfortunately, one downfall to hiring these employees for the position is the severe training. While in training, someone will have to teach them how to read invoices, input invoices into the system, balance batches. It may not seem like a lot to handle. Except the person who is training will need to review, code scan the invoice and send it for approval for payment. Once this step is completed, then the invoices are ready for the employees to enter into the A/P Module. The extra training in reviewing each invoice is giving the department a constant feeling of disorganization and not enough time in the day to complete tasks.
Regaining control back into the chaos, a person will have to point out the goal of the day and work hard to achieve it. Helping to make a list, prioritize it, a list that will constantly be changing daily due to the demands and projects. Once the goal has been determined, it is the object of the day to have it completed. A person will need to organize their time by doing time maps, schedules and project schedules. Make sure all personal and business appointments scheduled into the calendar. Once a person has organized their time, the next step is using the
time efficiently. A person must maintain their distractions and try to maintain a healthy rhythm. Another type of way to help organize the time is by doing the SPACE formula. This means to Sort, Purge, Assign, Containerize and Equalize. For this formula to work, it is required to have the following tools visible and handy; your planner, list of big picture goals, and your time map. The time map will include a balance tracker and sudden opportunity list.
